# Set up your training

> Prepare your courses, training structure, tasks, experiences and exams for Wingbase.

We’ll help you set up your existing training structure in Wingbase so your courses are ready before students are brought across.

During onboarding, we’ll provide a Training Import Template to help organise this information. If you already have your courses or training syllabus in another spreadsheet or system, you can provide that instead and we’ll review it with you.

## Courses

We can set up the courses and training programmes your school offers, such as PPL, NPPL, ratings, conversions and other training programmes.

Each course can have its own training structure, tasks, experiences, documents and exams.

## Training structure

Courses can be organised into phases and exercises to match how your school delivers training.

For example, a PPL course might be split into several phases, with the relevant exercises organised underneath each one.

For each exercise, we can include information such as:

* Exercise name
* Reference
* Order
* Notes

Phases are optional, so simpler courses can also be set up as a straightforward sequence of exercises.

## Course tasks

Course tasks let instructors record the individual items covered during a lesson.

Tasks can be organised into groups and added at three different levels:

* **Course level** — applies throughout the whole course
* **Phase level** — applies to exercises within a particular phase
* **Exercise level** — applies to one specific exercise

When an instructor records a lesson, Wingbase brings together the tasks that apply to that lesson.

Tasks can be covered more than once, so something revisited during a later lesson can be recorded again.

## Course experiences

Course experiences let Wingbase track the practical experience a student needs as they progress through a course.

### Flight time

Wingbase can automatically track accumulated flight time against course requirements, including:

* Total time
* Dual time
* Solo time

As lessons are completed, these totals contribute towards the student’s progress.

### Solo categories

Solo time can also be divided into categories where a course needs particular types of solo experience to be tracked separately.

The relevant category can be selected when a lesson is recorded, allowing that time to count towards both the category and the student’s overall solo time.

### Event counts

Some requirements are based on completing something a certain number of times rather than accumulating time.

These can be tracked as event counts, such as landings or other required events.

The instructor records them when completing the lesson and Wingbase keeps track of the student’s progress towards the requirement.

## Required documents

Courses can have documents that students are expected to hold or provide.

These might include:

* Medical certificate
* RT licence
* Pilot licence
* Photo ID
* Other course-specific documents

The actual files belong to the student. The course setup tells Wingbase which documents are expected and allows them to be tracked as part of the student’s progress.

## Exams

We can set up the exams used by your school and connect them to the courses where they’re required.

This can include the exam name, reference and pass mark.

The same exam can be used across more than one course where appropriate.

Existing exam results for individual students can be brought across as part of the student migration.

## Instructor ratings

We can also set up the performance ratings instructors use when recording student training.

You can keep the rating system your school already uses, or we can review how you’d like training performance to work in Wingbase.

## What happens next?

Once you’ve shared your training information with us, we’ll review the structure and get in touch if anything needs clarification.

We’ll then set up your courses in Wingbase before bringing across your students and their existing progress.
