Configure Activities

Activities can be configured to match the different types of bookings your school uses. Open Settings → Activities in the Wingbase app to manage Activities.

Built-in and custom Activities

Built-in and custom Activities can both be configured, but the settings available are different. Custom Activities give you more control over how the Activity works.

​

Name and colour

Choose a name and colour that make the Activity easy to recognise throughout Wingbase. The name is shown wherever the Activity is used, including bookings, student information and reports. The colour helps identify bookings using the Activity in the schedule and other views. You can rename and recolour built-in Activities without changing their underlying setup.

Options

Options control how a custom Activity can be booked. Multi-Day Bookings allows a booking to have separate start and end dates. This can be useful for overnight aircraft hire or other bookings that run across more than one day. Guest Students allows a booking for someone who does not yet have a student record in Wingbase. This can be useful for introductory or experience flights. Built-in Activities already have their Options set.

Requirements

Requirements determine who and what is needed for a booking. A custom Activity can require:

• Student
• Instructor
• Aircraft
• Simulator
• Room

Student and Instructor can be used independently or together. Aircraft, Simulator and Room are alternatives, so an Activity can require one of these at a time. For example, flight training might require a Student, Instructor and Aircraft, while Maintenance might only require an Aircraft. Built-in Activities already have their Requirements set.

Training

Turn on Track Progress when an Activity is used for student training. Training completed through the Activity can then contribute to Student Progress, including exercises, performance, flight time, tasks, events and exams where they apply. Track Progress is available when the Activity requires a Student and does not allow Guest Students. The student also needs an active course so their training can be recorded against it. Flight training, ground training and simulator training would normally track progress. Activities such as aircraft hire and maintenance would normally not. Built-in Activities already have their Training setting defined.

Timing

Timing lets you reserve additional time before or after a booking. You can add 15, 30, 45 or 60 minutes before and after. For example, a Flight Lesson booked from 14:00–15:00 with 30 minutes before and 15 minutes after reserves time from 13:30–15:15. The booking itself remains 14:00–15:00. Timing is available for Activities that require a Student or Instructor and are not Multi-Day Bookings.

Completion

Completion determines what information is available after a booking has taken place and what needs to be recorded. Each available field can be set to: The fields available depend on how the Activity is set up.

Outcome

Outcome covers information about the result of the Activity.

• Comment — notes or feedback about the Activity
• Performance — the student’s performance
• Solo — solo flying completed during the Activity
• Exam — an exam and its result

Some Outcome fields are only available for certain Activities. Performance is available when Track Progress is turned on. Solo is available when Track Progress is turned on and the Activity requires a Student, Instructor and Aircraft. Exam is available when Track Progress is turned on and the Activity requires a Student, Instructor and Room.

Flight Log

Flight Log is available when the Activity requires an Aircraft. It can include:

• Flight Time
• Meter Readings
• Fuel Uplift
• Oil Uplift

Each field can be set separately. For example, your school might require Flight Time and Meter Readings while leaving Fuel Uplift and Oil Uplift optional. Meter Readings also keep the aircraft’s current tacho up to date. When a newer Tacho Stop is recorded, Wingbase uses it as the aircraft’s current Tacho Hours. If your school uses Tacho + Hobbs, Meter Readings includes both Tacho and Hobbs values. Activity settings are also used by Completions. If something is still missing, Wingbase shows what needs attention for the booking.

Activity examples

Custom Activities can use different combinations depending on how your school operates. These are examples rather than fixed custom Activity types. Choose the combination that matches how your school operates.

Recording solo flights

The built-in Flight Lesson supports both dual and solo flying. When Solo is available in Completion, you can record how much of the Flight Time was flown solo. For example, a student could record 1 hour of Flight Time with 20 minutes of Solo Time. If your school schedules solo training separately, you can create a custom Solo Flight Activity with Student, Aircraft and Track Progress, without an Instructor. Solo Flight and Aircraft Hire both use a Student and Aircraft without an Instructor. Track Progress distinguishes solo training from aircraft hire. A Solo Flight contributes to Student Progress and requires an active course. Aircraft Hire requires aircraft hire approval instead.

Reorder Activities

Built-in and custom Activities can be reordered together. Arrange them in the order that works best for your school. This order is used when choosing an Activity for a booking, so the Activities you use most often can be kept near the top. Reordering Activities does not change existing bookings.

Managing built-in Activities

Built-in Activities remain available in Settings even if your school does not use them.

Enable or disable

Disable a built-in Activity if your school does not use it. It will no longer be available for new bookings, but existing bookings are kept. If you edit an existing booking that uses it, Wingbase shows the Activity as Disabled. You can enable it again at any time.

Reset to default

Select Reset to Default to return a built-in Activity to its original Wingbase settings. This resets its name, colour, Timing and Completion to the standard setup.

Duplicate

Duplicate a built-in Activity when you want to use it as the starting point for a custom Activity. The new custom Activity starts with the same setup and can then be configured separately.

Managing custom Activities

Custom Activities can be created for the way your school operates and archived when they are no longer needed.

​

Add an Activity

Select Add Activity to create a new custom Activity. Choose its name and colour, then set its Options, Requirements, Training, Timing and Completion.

After first use

Once a custom Activity has been used for a booking, its Options, Requirements and Training settings can no longer be changed. This keeps the Activity consistent with bookings that already use it. You can still change its name, colour, Timing and Completion.

Archive and restore

Archive a custom Activity when you no longer want to use it for new bookings. Existing bookings and historical information are kept. If you edit an existing booking that uses it, Wingbase shows the Activity as Archived. You can restore an archived Activity at any time to make it available for new bookings again.
