We’ll help you bring your existing documents into Wingbase and make sure they’re connected to the right students, aircraft and safety reports. During onboarding, we’ll provide a secure space where you can share the documents you want to bring across. Your documents don’t need to be perfectly organised before you start. Begin with what you already have and we’ll review them with you.

Student documents

Student documents are attached to an individual student and can form part of their training record. These can include:
  • Medical certificate
  • RT licence
  • Pilot licence
  • Photo ID
  • Other student documents
Where relevant, an expiry date can be recorded so Wingbase can remind your school when a document is approaching expiry. Required documents can also be connected to a course and tracked as part of the student’s progress.

School documents

School documents are shared resources that your school wants to make available to students. They can be organised into:
  • Welcome
  • Training
  • Aircraft
  • Safety
  • Other
School documents are available through the Wingbase Student Portal to students who have portal access. These might include welcome packs, student handbooks, booking guidance, training notes, course information, aircraft checklists, operating guidance and safety information.

Aircraft documents

Aircraft documents are attached to a specific aircraft in your fleet. These can include:
  • Certificate of registration
  • Certificate of airworthiness
  • Airworthiness review certificate (ARC)
  • Noise certificate
  • Radio licence
  • Insurance certificate
  • Other aircraft documents
Where relevant, an expiry date can be recorded so Wingbase can remind your school about upcoming renewals.

Safety documents

Supporting documents can also be attached to individual safety reports. These might include:
  • Photos
  • Supporting evidence
  • Investigation documents
  • Follow-up information
  • Other files relevant to the report
The documents stay connected to the safety report alongside its description and updates. See Import your safety reports for more information about bringing existing safety information into Wingbase.

File formats

Wingbase supports:
  • PDF
  • JPG
  • JPEG
  • PNG
Where possible, use clear filenames that make each document easy to recognise. If you have documents in another format, let us know and we’ll review the available options with you.

What happens next?

Once you’ve shared your documents with us, we’ll review how they’re organised and get in touch if anything needs clarification. You don’t need to wait until every document is available. We can start preparing your migration while you continue adding anything that’s missing. We’ll then connect the files to the appropriate students, aircraft, school document categories and safety reports so you can review them before going live.
