We’ll help you bring your existing students into Wingbase so their profiles, course enrolments and previous training are ready when your school goes live. During onboarding, we’ll provide a Students Import Template to help organise this information. If you already have your student data in another spreadsheet or system, you can provide that instead and we’ll review it with you.

Student profiles

We can bring across the main information you already hold for each student, including:
  • Name and contact details
  • Date of birth and gender
  • Address
  • Emergency contact
  • Student Portal access
  • Aircraft hire access
  • Notes
You don’t need to have every piece of information available. We can start with what you already have.

Student lists

Student lists help you organise students into groups that are useful for the day-to-day operation of your school. For example, you might use lists for:
  • Aircraft hirers
  • Club members
  • Hour builders
  • Different student groups
  • Other operational groups
A student can belong to more than one list, and you don’t need to use lists if they aren’t useful for your school.

Course enrolments

We can assign students to the courses they are currently taking so their training is connected to the course structure you’ve set up in Wingbase. A student can be enrolled on more than one course where needed. We can also bring across course dates and existing training progress so students who are already part way through a course don’t need to start again.

Previous training

For students who have already started training, we can bring across their existing progress. This can include:
  • Previous dual time
  • Previous solo time
  • Last exercise reached
Previous dual and solo time are added to the student’s course experience so their existing hours count towards their progress in Wingbase. The last exercise reached can be used to establish where a student has progressed to within a course. Exercises leading up to that point can be marked as previously covered. This works best for courses that are generally completed in sequence. If your students follow a less linear training structure, we’ll review the existing training information with you and agree on the best way to bring their progress across.

Completed exams

We can also bring across exams that students completed before moving to Wingbase. Completed exams are connected to the relevant student and course so their existing exam progress is available without having to record it again.

Student documents

Student documents can also be brought across as part of your migration, including medical certificates, licences and other files you already hold. See Import your documents for more information about preparing student documents.

What happens next?

Once you’ve shared your student information with us, we’ll review it and get in touch if anything needs clarification. We’ll then import your students, course enrolments and existing progress into Wingbase so you can review everything before going live.
